Overview of RapidReader PRO

RapidReader PRO includes powerful new functions that allow you to accelerate your reading of both PDF files and your Outlook e-mail folders. These capabilities are the result of significant development of new analytical tools for RapidReader in order to address the unique challenges of handling PDF files and the wide range of e-mail types and attachments.

Understanding PDF and Rapidreader

RapidReader PRO converts and extracts the text from the native PDF format and delivers it to you so you can accelerate reading the content and streamline getting the information you need. It's not intended to reproduce the PDF, but rather give you an option for how you choose to read it. In order to capture the readable content from a PDF, RapidReader PRO must separate the text that is actually meant for a human to read from the code that the computer needs to print the page. In a PDF file they are all mixed together. And often not in any particular order. So, "under the covers" a PDF file is very much like a jigsaw puzzle. RapidReader PRO contains a powerful analysis engine and artificial intelligence filters that go through the PDF file sorting all the data in order to extract and organize only the readable content and open it for you in RapidReader.

PDF's are fundamentally different from word processor documents, web pages and text. A PDF doesn't recognize or keep elements for line breaks, paragraphs, headers or other paragraph formatting used in word processing applications like Microsoft Word. Text is broken down into fragments as small as single characters but not more than one line. These fragments can be randomly stored any where in the file but they all have to be placed in the right location on the page to complete its appearance. The order in which the the code is loaded isn't necessarily organized in the way it appears on the page. To the computer that doesn't matter, a dot is a dot, but for extracting text, the challenge is much like sorting through gravel to find gold.

Therefore, as refined as the analysis and content identification process is, unfortunately you may sometimes find minor text errors, extra characters or other anomalies in the text output in RapidReader. This usually depends on how heavily formatted the original PDF document is and how it was "built" in the first place. However, in the vast majority of cases this shouldn't substantially interfere with accelerating your reading and understanding the content.

Some PDF documents contain no text at all

A PDF may look as if there is text, but sometimes it's actually a picture of a page. These are typically used for thngs like brochures or marketing materials which are heavily formatted with photographs. Also, sometimes archival material is taken directly from Microfiche. RapidReader will notify you if there is no text available to be read.

Opening a PDF Document in RapidReader

You can open a PDF document directly in RapidReader in one of two ways:

Either "Drag and Drop" the File on the RapidReader desktop icon or select File Open from within RapidReader.

 
 

TIP

RapidReader will frequently open a PDF significantly faster than opening the file in Acrobat reader. So, if you're chiefly interested in reading the text content, or in determining if you want to read the PDF, opening the document directly in RapidReader may be your most efficient choice.

 
To Open a PDF in RapidReader
1)
Drag a document of a supported file type directly onto the RapidReader desktop Icon. These include .Doc, .Txt, .R2d, .Txv, and PDF documents in RapidReader Pro.
  OR
2) Launch RapidReader from the desktop icon, then use File/Open on the menu bar. You can browse to supported file types and open them directly in RapidReader.
  PLEASE NOTE: Copying a PDF document to the clipboard and using the "Read from Clipboard" command in RapidReader will bypass the RapidReader analytic engine and may give you an unsatisfactory extraction of the text.
 
 
   
Navigate Using Synchronized Pages:

When you open a PDF in RapidReader, it automatically extracts the page numbers and synchronizes RapidReader to the original PDF. The "Goto Page" command is a convenient way to assist you in navigating through the document.

 
 

TIP

Since the page numbers are synchronized between the PDF and RapidReader, It can be very useful to open the original PDF and the RapidReader view at the same time. In this way you can quickly skim the PDF for useful sections to RapidRead and then use the "Goto Page" on the RapidReader menubar to begin RapidReading from the desired location.

 
To Go To a Particular Page of a PDF in RapidReader
1)
On the ParagraphView MenuBar click Navigate
2) Click "Go To Page" 
3) Enter a page number
4) Click "Go to Page"
5)

RapidReader will go to that page location.

  NOTE: The page number of your location will be displayed on the ParagraphView ToolBar
 
 
   
Using Dog-Ears

About the Dog-Ear Marker.

The page numbers when a PDF is opened in RapidReader are the same as the page numbers of the original PDF. This is to allow you to reference the original document. Since RapidReader extracts text flow only, the Dog-Ear was designed to provide a quick marker to remind you to look at a graphic or other item of interest contained in the original PDF. This is particularly useful if you don't have immediate access to the PDF or if you're RapidReading on a mobile device.

Because the RapidReader page number corresponds to the original PDF, when you get back to your PC you can use the Dog-Ears to quickly find the locations in the PDF itself of the elements you've marked..

To place a Dog-Ear Marker while in ParagraphView
1)
In the ParagraphView Single-click on a word to select it
2) Click on the Dog-Ear Icon on the toolbar
3) A Dog-Ear Marker will be placed next to the word you selected
 
To place a Dog-Ear Marker while in TurboView
1)
Single-click to Pause
2) Click on the Dog-Ear Icon on the Turbo Control Bar
3) A Dog-Ear Marker will be placed at the word displayed in Turbo Window
 

NOTE: You must SAVE as a .r2d file when you close a document in order to retain the document markup you've created.

 
 
   
Convert a .r2d file to synch with a mobile or handheld device

When you open a PDF or other document using RapidReader PRO, you can save it to read "on the go" if you have RR Palm or RR Mobile (Symbian 9200 and 9300 series Nokia) on your handheld. However, the document must be saved from RapidReader in a different format specifically for the mobile platform. The r2d format is not currenlty compatible with the RapidReader Doc rrd format used on Palm or Symbian devices.

When you save the document for mobile it does not support the transfer of User-Notes, DogEars or Highlites to the handheld. However, once the document has been synched to the Palm or Symbian you can use the notes features that came with RR Mobile for markup. To Save an r2d to export to RapidReader Palm or Symbian
1)
Go to ParagraphView
2) On the ParagraphView menubar select FILE
3) Select> Export for Mobile
4) This will save the file with an .rrd extension to the location of your choice for synchronizing.
  PLEASE NOTE: It is recommended that you create a folder location specifically for saving the converted files.
  PLEASE NOTE: You will still need to use the "RR to Palm" software on your PC as the conduit for synching to your Palm . This will place the documnent in the correct location on the Palm device. For RR Mobile (Symbian) You simply need to put it in the synch queue as you would any document.
 
 
About RapidReader PRO for Outlook e-mail.

 

Opening and closing e-mail one at a time, is a thing of the past
In addition to accelerated reading, RapidReader PRO was designed to streamline or eliminate the steps involved in the opening and handling of e-mail. With RapidReader PRO you can select to auto-open a range of 20 or more e-mails and attachments at a time with one click of the RapidReader button on the Outlook toolbar. Then once they've been opened in RapidReader, you can read them at high speed or skip through them from one to the next, with a keystroke. RapidReader PRO also auto-opens attachments including MS Word docs and PDF files. You can use the markup features to annotate or Highlites and save e-mail and attachment together as an r2d file. You can even send the r2d file as an e-mail attachment to another RapidReader user.

RapidReader automatically strips out unnecessary header information (such as multiple cc's etc.) and renders only the headers: from, date, subject and if there's an attachment, the name of the document.

PLEASE NOTE: Imbedded web page addresses are rendered as the word <LINK> in TurboView to save reading lengthy html information. The actual link address is displayed in ParagraphView.

RapidReader places a button directly on the toolbar of your Outlook e-mail client.

To Auto-Open a group of e-mails in RapidReader
1)
In Outlook select an e-mail folder
2) Click on the first e-mail in the sequence you wish to read
3) Shift+Click on the last e-mail in the sequence you wish to read to select a continuous group
  OR
4) Control + Click to create a discontinuous group
5) Click on the RapidReader Button on the Outlook tool bar
6) RapidReader will launch your selection in ParagraphView
7) Double-Click on any word to start
 
 
   
Skip to next e-mail or to an attachment

Part of the value of RapidReader is the ability to quickly decide whether or not you want to read a particular e-mail or move on.

At any time when you're RapidReading an e-mail, with a keystroke you can skip it and jump to the next one. You can also skip to an attachment.

When In e-mail mode, RapidReader displays the sequence number of the e-mail s it comes up. The number is displayed in both ParagraphView and in the upper right hand corner of TurboView (e.g. E-MAIL # 1).

Skip to an e-mail attachment

When you launch an e-mail in RapidReader, the header information will tell you if there's an attachment and if so, the title and file format such as .doc or .PDF. You can skip the e-mail body and go immediately to the attachment with a keystroke. The attachment is automatically opened from any file format supported by RapidReader. You will see a marker( =======) followed by the attachment title to let you know that you are in the attachment. If the attachment is not of interest you can skip to the next e-mail as shown above.
